Development and Alumni Relations Coordinator

 

Title:  Development and Alumni Relations Coordinator

Exempt/Nonexempt:  Exempt, Salary

Schedule:  40 hours a week, full year, onsite

Supervisor:  Mary Welz, Director of Development

Date:  January, 2023

Specific Responsibilities:

Reporting to the Director of Development, the Coordinator will perform a wide-range of coordinator work, primarily in the following three areas:

Database Management

  • Manage all gift processing, including pledges, gift management and acknowledgment letters
  • Perform data entry and maintain the general integrity and consistency of the Raiser’s Edge database
  • Manage all financial reporting of gifts and serve as liaison to the business office
  • Maintain the inventory of all development, alumni, and campaign supplies 

Alumni Relations

  • Record and maintain the Alumni and Parent database including engagement activities, giving history and biographical information
  • Generate mailing lists for on-line and print mailings
  • Provide support for the production and distribution of all communications and mailings documenting individual Alumni engagements
  • Assist with planning Alumni events being present where requested
  • Communicate professionally at all times; proofread outgoing communications

 

Capital Campaign

  • Create and maintain all gift processing and database files pertinent to the campaign
  • Prepare campaign reports as requested including campaign pyramid tracking, volunteer assignments, meetings completed, gifts and pledges, and campaign financial reports
  • Organize and coordinate campaign meetings, gatherings and travel; distribute related agendas, reports and other materials as requested
  • Attend campaign meetings and prepare brief minutes

Requirements:

  • A proven track record managing detail-oriented systems with precision
  • Experience working with financial data using a complex database
  • Experience with event planning and management
  • Excellent oral and written communication skills
  • Excellent organization skills
  • A sense of humor
  • A willingness to join a high-functioning energetic and collaborative team
  • The ability to work some evenings and weekend hours
  • Expertise with Excel preferred, familiarity with Raiser’s Edge software a plus

Physical Requirements:

This position requires the employee to sit for long periods of time working at a computer, to be available to support events on and off the premises, and to be able to travel in inclement weather as necessary.
